Stephen Covey, the author of the bestselling book "The 7 Habits of Highly Effective People", once said, "The key is not to prioritize what's on your schedule but to schedule your priorities." This quote emphasizes the importance of not just managing your time, but also prioritizing the right tasks to achieve your goals.

In this blog post, we'll explore five time management strategies that will help you take control of your time and unlock your productivity.

 

1. Prioritizing tasks

Prioritizing tasks involves determining which tasks are most important and urgent and focusing on completing them first.

Imagine you're a project manager and you have multiple deadlines approaching. One deadline is for a report that your boss needs by the end of the day, and another deadline is for a client meeting in two days. Both tasks are important, but the report is more urgent. To prioritize, you can ask yourself which task has the most immediate consequences if it's not completed on time. In this case, the report deadline is more urgent, and you should focus on completing that task first.

Here’s another example. What if you have multiple tasks that are equally important and urgent? Let's say you're a small business owner and you have two important meetings scheduled at the same time. To prioritize, you can consider the consequences of missing each meeting. Which meeting has the most immediate impact on your business? Which meeting can be rescheduled? By asking these questions, you can determine which task is more important and make an informed decision on how to proceed.

Most people struggle with prioritizing tasks because they often try to do everything at once and end up feeling overwhelmed. To fix this, they can start by identifying which tasks are most important and urgent and focus on completing them first. They can also use tools like a to-do list or a project management app to help them stay organized and on track.

 

2. Setting goals:

Setting goals involves setting clear, achievable goals for the short-term and long-term and creating a roadmap to achieving them. 

So how do you set achievable goals for the short-term and long-term? We can talk about that for a minute with a simple example. Let's say you're a college student and you want to improve your grades. 

To set achievable goals, you can start by identifying specific areas where you want to improve, such as test scores or homework completion. Then, you can set a realistic goal, such as improving your test scores by 10% or completing all of your homework on time for the next month. By setting specific, measurable goals, you can track your progress and stay motivated.

But, what if you're not sure what my goals should be or how to create a roadmap to achieve them?

Take a moment and think of yourself in your professional role. If you wanted to advance in your field you could create a roadmap. You can start by researching different career paths within your industry and identifying the skills and experience needed for those roles. 

Then, you can set a goal to gain the necessary skills or experience, such as taking on new projects, networking with industry leaders, or pursuing additional education or certifications. 

Breaking down your long-term career goal into smaller, achievable steps, is an essential piece to time management skills that will guide you toward success and help you achieve your professional aspirations.

 

Why People Struggle with Setting Goals

Most people struggle with setting goals because they often set unrealistic or vague goals that are difficult to achieve. To fix this, they can start by setting specific, measurable goals and creating a plan to achieve them. They can also track their progress and adjust their goals as needed to ensure they stay on track.

 

3. Time blocking:

Time blocking involves allocating specific blocks of time for tasks and activities, such as emails, meetings, and focused work.

Many busy professionals ask themselves, “How do you allocate specific blocks of time for tasks and activities?”

If you were a freelance writer and you need to manage your time efficiently to meet deadlines. To allocate specific blocks of time, you can start by identifying how much time each task or activity requires. 

For example, you may need to allocate two hours for writing, one hour for research, and 30 minutes for email. Then, you can create a schedule that blocks off time for each task or activity, such as two hours for writing from 9-11am, one hour for research from 11am-12pm, and 30 minutes for email from 2-2:30pm.

Often, people wonder about what to do about those unexpected interruptions or emergencies that disrupt their time-blocking schedule.

To manage unexpected interruptions or emergencies, you can build in buffer time between tasks and activities. For example, you can schedule 15-30 minutes of buffer time between meetings or tasks to account for unexpected interruptions or emergencies. You can also be flexible and adjust your schedule as needed to ensure you stay on track.

 

Why Many People Struggle with Time Blocking

One of the main reasons this is difficult for many is that they often underestimate how much time a task or activity will take and don't account for unexpected interruptions or emergencies. 

One solution is to start by accurately estimating how much time a task or activity will take and building in buffer time to account for unexpected interruptions or emergencies.

4. Avoiding multitasking:

Avoiding multitasking involves focusing on one task at a time, avoiding distractions, and committing to completing each task before moving onto the next one.

Why is it important to focus on one task at a time? Let's say you're a student studying for an exam while also trying to answer emails and watch a TV show. Multitasking can lead to decreased productivity and quality of work because it requires switching between tasks and can cause mental fatigue. By focusing on one task at a time, you can give your full attention to that task and complete it more efficiently and effectively.

But what if you feel like you need to multitask in order to complete all of my tasks?

Imagine you're a manager with multiple deadlines and projects to manage. To avoid multitasking, you can prioritize your tasks and allocate specific blocks of time to complete each task. You can also eliminate distractions by closing your email or turning off your phone during focused work time. By staying focused on one task at a time, you can increase your productivity and quality of work.

5. Delegating:

Delegating involves identifying tasks that can be delegated to others, such as administrative work, and freeing up time for more important tasks that require your unique skill set.

One of the most difficult things to do is to “let go” and identify tasks that can be delegated to others?

Business owners often struggle to keep up with administrative tasks like data entry and bookkeeping while trying to simultaneously grow their business. To identify tasks that can be delegated, you can make a list of all of the tasks that you're responsible for and determine which tasks require your unique skill set. 

For example, you may need to be involved in client meetings or product development, but administrative tasks like data entry can be delegated to an assistant.

Even if you don’t have the resources to hire an assistant. There are other ways to delegate tasks, you can use tools like automation software or outsourcing services. For example, you can use a tool like Grammarly to proofread your writing, or outsource tasks like graphic design or social media management to a freelancer. By delegating tasks, you can free up time for more important tasks that require your unique skill set.

Most people struggle with delegating because they often feel like they need to do everything themselves or don't have the resources to delegate tasks. To fix this, they can start by identifying tasks that can be delegated to others and using tools like automation software or outsourcing services. They can also invest in developing the skills and resources needed to delegate tasks effectively, such as communication skills and project management tools.
